By using this platform, you acknowledge that all bookings made through the website are subject to these Terms and Conditions.
Ineligibility for use
You may not access or use Seattle Limo Service's website, services, or tools if:

- You are under the age of 18.
- Your access to our site or services has been temporarily or indefinitely suspended.

- Unauthorized access: Attempting to gain unauthorized access to other users' accounts or the site's administrative areas is strictly forbidden.

Account registration & security
You are not required to create an account to book transportation services through Seattle Limo Service. Creating an account is optional and is provided for your convenience if you wish to manage your reservations, view your booking history, or save your information for future bookings.
To complete a reservation, you must provide accurate and up-to-date contact information, including your full name, a valid email address, and a valid mobile phone number. For security and fraud prevention, your mobile phone number must be verified using a one-time password (OTP) before your booking can be confirmed.
By making a reservation or creating an account, you represent that you are at least 18 years of age and legally eligible to enter into a binding agreement.
You are solely responsible for:
- Safeguarding your account credentials, including your password, and ensuring that unauthorized persons do not gain access.
- All activities conducted under your account, whether performed by you or by others with or without your knowledge. Seattle Limo Service will not be held liable for any unauthorized use of your account.
If you suspect any unauthorized access or security breaches, you must notify Seattle Limo Service immediately to prevent further misuse of your account.
Free access & account management
Access to and use of the Seattle Limo Service website is completely free of charge and will remain so. There are no membership fees or hidden costs associated with signing up or maintaining an account.
You may deactivate your account at any time without any financial obligation or penalty. If you choose to deactivate your account, you will no longer have access to your booking history, saved preferences, or any other personalized services linked to your profile. Should you wish to reactivate your account in the future, you may do so by following the registration process again or contacting customer support for assistance.
Bookings & reservations.
Booking chauffeured transportation through our website does not require you to create an account. You may complete your reservation as a guest or choose to create an account to manage your bookings, view your reservation history, and save your information for future use.
To complete any reservation, you must verify your mobile phone number using a one-time password (OTP). During the booking process, you can select your preferred vehicle class and choose your desired gratuity amount based on your preference.
Estimated fares
The estimated travel fare provided is built on the most efficient travel route and on typical traffic conditions. Your final fare may differ due to traffic conditions, the route taken, wait time, additional stops, parking, ferry crossings, or overtime on hourly reservations.
Confirmation & dispatch
Once your booking is completed and confirmed, a vehicle in the class you selected is assigned and dispatched for your pickup. A confirmation will be sent to you via email with your detailed journey information, including chauffeur contact procedure and any policies specific to your service type.
You can view your past travel history in your Seattle Limo Service account, which you can use for business travel expense reports, and you can also delete all travel history.
Airport reservations
Bookings to the airport are valid only for the time and date specified. Reservations from the airport are valid only for the date specified. Seattle Limo Service is not responsible for customer error resulting in unused reservations or missed flights. When changing the pickup or drop-off location of a reservation, rates are subject to change and additional charges may apply.
Advance booking recommendations
Availability varies significantly by service type and date. While same-day service is often possible for sedans and SUVs, specialty vehicles and peak dates require meaningful lead time:
- Weddings: four to six months in advance.
- Prom and graduation: six to eight weeks in advance.
- Party buses and stretch limousines on weekend dates: four to eight weeks in advance.
- Corporate roadshows: one to two weeks in advance.
- Cruise terminal transfers: two to four weeks in advance.
- Airport transfers and point-to-point: 24 to 72 hours is typical.
These are recommendations, not requirements. We accept bookings outside these windows subject to availability.
Service types & what each includes.
Different service types are governed by different terms throughout this Agreement, particularly regarding minimums, cancellation windows, and additional fees. The definitions below apply throughout.
Airport transfers
Private, non-stop airport transfer: Direct transportation in a sedan, SUV, Sprinter, or specialty vehicle to or from Seattle-Tacoma International Airport (SEA), Boeing Field (BFI), or Paine Field (PAE). A flat-rate fare is quoted at booking and guaranteed unless the reservation is modified. Additional stops or route changes may result in added fees.
"Will Call" from the airport: Curbside pickup where permitted by airport authority. After collecting luggage, the customer calls the number in the confirmation for instructions on where to meet the chauffeur. Dispatch may ask for an identifying clothing color so the chauffeur can locate you among others waiting at the curb.
"Meet and Greet" from the airport: Requires an additional fee. The chauffeur meets the customer inside baggage claim with a personalized sign, assists with luggage, and escorts the party to the vehicle.
FBO & private aviation transfers
Pickups and drop-offs at fixed-base operators including Signature Aviation, Modern Aviation, and Clay Lacy at Boeing Field, plus private terminals at Sea-Tac. Tarmac-side access is provided only where the FBO and aircraft operator permit it and is never guaranteed. Chauffeurs may coordinate directly with your flight crew or scheduler where you have authorized us to do so.
Point-to-point transfers
A single trip between two defined addresses at a flat quoted rate. Additional stops are billable. Point-to-point service is not subject to an hourly minimum.
Hourly & as-directed chauffeur service
A vehicle and chauffeur reserved for a continuous block of time, at your direction, subject to the minimums and terms in Section 05. Used for wine tours, city tours, shopping, photo shoots, multi-stop business days, standby coverage, and any itinerary that does not fit a fixed route.
Cruise terminal transfers
Transfers to and from Smith Cove (Pier 91) and Bell Street Pier (Pier 66), plus long-distance transfers to Canada Place in Vancouver, BC. Cruise transfers are time-critical; customers are responsible for allowing adequate margin ahead of boarding deadlines, and Seattle Limo Service is not liable for missed sailings.
Special event & package reservations
Weddings, proms, quinceañeras, anniversaries, bachelor and bachelorette parties, concerts, sporting events, and any multi-vehicle program. Governed by Section 06 and subject to the extended cancellation window in Section 09.
Long-distance & cross-border service
Trips beyond the greater Seattle metro, including Portland, Walla Walla, Mount Rainier, Olympic National Park, and Vancouver, BC. Cross-border trips require valid travel documentation for every passenger. It is the customer's sole responsibility to ensure all passengers carry documentation sufficient for entry and re-entry. Denial of entry by border authorities does not entitle the customer to a refund.
Hourly & as-directed service.
Hourly chauffeur service reserves a specific vehicle and chauffeur exclusively for your use across a continuous block of time. Because that vehicle and chauffeur are unavailable to other customers for the duration, hourly reservations are subject to minimums and a longer cancellation window than point-to-point transfers.
Minimum hours
- Weekdays (Monday–Thursday): three (3) hour minimum for sedans and SUVs.
- Weekends and holidays (Friday–Sunday): four (4) hour minimum for sedans and SUVs.
- Stretch limousines, stretch SUV limousines, and party buses: four (4) hour minimum on weekdays, five (5) hours on weekends and holidays.
- Motor coaches and mini coaches: five (5) hour minimum, subject to Department of Transportation hours-of-service rules.
Minimums apply to the reserved block, not to actual usage. If your itinerary finishes early, the full contracted minimum is still charged. Minimums are not waived for corporate account holders.
How billable time is calculated
Billable time begins at the scheduled pickup time stated on your confirmation — or at your actual pickup time if you board early and the chauffeur is on site — and ends when the final passenger is dropped off at the last stop on the itinerary.
For specialty vehicles including stretch limousines, party buses, and coaches, billable time may be calculated garage-to-garage where the pickup location is more than thirty (30) miles from our staging facility. When garage-to-garage billing applies, it is disclosed on your written quote before booking, never applied afterward.
If you are not ready at your scheduled pickup time, billable time still begins at the scheduled time. Starting late does not extend your reserved block.
What hourly service includes
- Exclusive use of the reserved vehicle for the contracted block.
- A professional chauffeur who remains with the vehicle and available at each stop.
- Unlimited stops within the contracted time and the agreed service area — extra stop fees do not apply to hourly reservations.
- Standard mileage within the greater Seattle metro. Trips substantially outside the metro may carry a mileage or out-of-area supplement, disclosed at quote.
- Complimentary bottled water on select vehicles at our discretion.
What hourly service does not include
- Tolls, ferry fares, parking, and venue access fees, unless expressly included in your written quote.
- Overtime beyond the contracted block, governed by Section 11.
- Gratuity, unless pre-selected at booking or set at the account level.
- Alcohol, catering, decorations, or third-party services of any kind.
Chauffeur breaks & hours of service
Chauffeurs operating under Department of Transportation regulations are subject to mandatory duty-hour and rest requirements. For extended bookings — typically beyond ten continuous hours — a second chauffeur may be required, at additional cost disclosed in advance. We will not operate a booking in violation of hours-of-service rules regardless of customer request, and we will tell you at quote if your itinerary triggers this.
Special event & package reservations.
Special event reservations include weddings, proms, quinceañeras, graduations, anniversaries, bachelor and bachelorette parties, funeral processions, concert and stadium transportation, and any booking involving three or more vehicles operating as a coordinated program.
Payment & confirmation
Special event reservations are paid in full at the time of booking, consistent with all other Seattle Limo Service reservations. A reservation is not confirmed and a vehicle is not held until payment has been processed and a written confirmation issued. Verbal holds, email inquiries, and quote requests do not reserve a vehicle on your date.
Refundability of amounts paid is governed by the cancellation schedule in Section 09. For special event bookings, that window is thirty (30) days — materially longer than a standard transfer, because specialty vehicles booked on a peak date cannot realistically be resold on short notice.
Written itineraries
Multi-stop and multi-vehicle event programs are operated against a written itinerary that both parties confirm before the date. The itinerary specifies each pickup location, time, passenger count, and vehicle assignment. Changes to a confirmed itinerary inside seven (7) days of the event are accommodated where operationally possible and may carry a fare adjustment.
Peak dates & capacity
Prom weekends, graduation weekends, New Year's Eve, major holidays, and large-scale events genuinely sell out. Confirming a booking on a peak date requires payment; we cannot hold a specialty vehicle on an unpaid inquiry while you decide, and we will tell you plainly when a date is approaching capacity rather than creating artificial urgency.
Wedding-specific terms
- Wedding bookings should specify a "must depart by" time for each leg rather than only a pickup time, so the chauffeur can flag a schedule risk in real time.
- Where a ceremony runs long and extends the reservation beyond the contracted block, overtime under Section 11 applies and will be charged to the card on file.
- Decoration of vehicles is governed by Section 26.
- Alcohol in the vehicle is governed by Section 25 and is not permitted merely because the occasion is a wedding.
Funeral transportation
Funeral and memorial transportation is arranged with as much flexibility as we can reasonably offer given the circumstances. Cancellation terms for funeral bookings are applied with discretion rather than strictly, and we will work with families and funeral directors on timing changes without penalty wherever operationally possible. Contact dispatch directly rather than cancelling online.
Short notice reservations.
A short notice reservation is defined as any booking made less than two (2) hours before the requested pick-up time. While Seattle Limo Service strives to accommodate all reservation requests, we cannot guarantee service availability or on-time arrival for short notice bookings.
Service availability
The ability to fulfill a short notice reservation is subject to multiple factors, including but not limited to:
- Pickup and drop-off locations: Availability may vary based on distance, traffic conditions, and operational constraints.
- Current vehicle availability: Our fleet operates on a scheduled basis, and last-minute bookings are subject to vehicle and chauffeur availability at the time of request.
- Vehicle class requested: Sedans and SUVs are frequently available on short notice. Stretch limousines, party buses, and coaches almost never are, as they are staged and prepared in advance.
- Traffic and external conditions: Road congestion, weather, and other unforeseen circumstances may impact service timeliness.
Important
We strongly recommend booking your ride at least two hours in advance to ensure guaranteed service and on-time arrival. If a short notice reservation is accepted, Seattle Limo Service will make every effort to provide timely service but does not guarantee adherence to the requested pick-up time. If we are unable to fulfill a short notice reservation, our customer support team will notify you as soon as possible and provide alternative options if available.
Reservation abandonment.
Reservation abandonment occurs when the chauffeur arrives at the designated pick-up location but is unable to locate the customer and cannot establish contact using the "Day of Travel" phone number provided at the time of booking.
Waiting periods before abandonment
- Residential, hotel, and commercial pickups: the chauffeur waits fifteen (15) minutes past the scheduled pickup time.
- Domestic airport arrivals: the chauffeur waits thirty (30) minutes past actual flight arrival time.
- International airport arrivals: the chauffeur waits sixty (60) minutes past actual flight arrival time, in recognition of customs and immigration processing.
Airport waiting periods run from actual arrival time as tracked by our dispatch system, not from your originally scheduled arrival time. Flight delays do not shorten your grace period.
Consequences of abandonment
If the customer remains unreachable or fails to appear within the applicable waiting period:
- The reservation will be marked as abandoned.
- No refunds or credits will be issued.
- The full fare will be charged.
To avoid reservation abandonment, please ensure you are at the designated pick-up location at the scheduled time, that your "Day of Travel" contact number is accurate and reachable, and that you notify us in advance if there are any delays or changes to your plans. A single phone call to dispatch nearly always prevents an abandonment charge.
Cancellation & refund schedule.
Cancellation windows vary by service type. A sedan on an airport run can be re-dispatched within the hour; a stretch limousine reserved on prom Saturday cannot be resold at all. The schedule below reflects that difference rather than applying a single window to everything.
All cancellation windows are measured from the scheduled pickup time stated on your confirmation.
| Service type | Full refund | 50% refund | No refund |
|---|---|---|---|
| Airport transfers & point-to-point | 24+ hours | — | Under 24 hours |
| FBO & private aviation transfers | 24+ hours | — | Under 24 hours |
| Cruise terminal transfers | 24+ hours | — | Under 24 hours |
| Hourly & as-directed service | 7+ days | 72 hours – 7 days | Under 72 hours |
| Wine tours & city tours | 7+ days | 72 hours – 7 days | Under 72 hours |
| Stretch limousine & party bus | 30+ days | 14 – 30 days | Under 14 days |
| Weddings & special event packages | 30+ days | 14 – 30 days | Under 14 days |
| Prom, graduation & peak dates | 30+ days | 14 – 30 days | Under 14 days |
| Multi-vehicle programs (3+ vehicles) | 30+ days | 14 – 30 days | Under 14 days |
| Corporate account bookings | Governed by the terms in your written account proposal. In the absence of contrary terms: sedans and SUVs cancel free up to 4 hours prior; Sprinters, coaches, and multi-vehicle moves require 48 hours. | ||
Partial cancellation of a multi-vehicle program — reducing vehicle count rather than cancelling entirely — is treated as a cancellation of the removed vehicles and assessed at the applicable window.
How to cancel
Cancel by logging into your account, navigating to Travel History, selecting the reservation, and following the prompts — or by contacting customer support at (206) 512-8766. Upon successful cancellation you will receive an email confirmation. Retain that confirmation. A cancellation is effective when we issue confirmation, not when you attempt it.
Cancellations by Seattle Limo Service
If we cancel a confirmed reservation for any reason other than customer breach of these terms — including vehicle unavailability we could not resolve through substitution under Section 20 — you receive a full refund regardless of timing. Where we anticipate a significant weather or road-condition disruption, we may cancel in advance and refund in full rather than dispatch into unsafe conditions.
No-show is not cancellation
Failing to appear without cancelling is governed by Section 08 and results in the full fare being charged with no refund, regardless of which cancellation tier your booking would otherwise fall into. If your plans change, cancel — even late. A late cancellation costs you no more than a no-show, and it lets us release the vehicle.
Additional fees & charges.
We strive to provide transparent and competitive pricing. Certain additional fees may apply depending on the nature of your trip.
Tolls, taxes, and included charges
Unless otherwise stated during the booking process, all quoted fares include applicable road tolls, airport access fees, and state and local taxes. The price displayed at checkout is the total transportation fare you will pay.
Additional charges apply only if you request changes to your reservation or additional services after your booking is confirmed — such as extra stops, extended wait time beyond the included allowance, vehicle upgrades, child seats, or other optional services. Any applicable charges will be communicated to you before they are applied wherever practicable.
Extra stop fee
Customers may request additional stops during an airport transfer or point-to-point reservation for an added charge. The cost varies based on the location of the additional stop, chauffeur discretion, and additional mileage. Extra stop fees do not apply to hourly or as-directed reservations, where stops are unlimited within the contracted block.
Wait fees
Wait fees apply when a chauffeur arrives at the scheduled pick-up location and must wait beyond the applicable grace period due to customer delay. Grace periods match the waiting periods in Section 08: fifteen minutes for standard pickups, thirty minutes for domestic arrivals, sixty minutes for international arrivals.
Beyond the grace period, wait time is billed in fifteen (15) minute increments at the applicable hourly rate for the vehicle class. Short delays of a few minutes typically incur no charge.
Ferry, parking, and venue fees
If a reservation requires a ferry crossing, ferry fees are added to cover ticket cost plus the chauffeur and vehicle fare. If a chauffeur must park while waiting — at an airport, hotel, venue, or event — the customer is responsible for parking fees incurred. Certain venues charge access, staging, or bus-parking fees that are passed through at cost. These fees are added to the final fare unless prepaid as part of a package.
Out-of-area & long-distance supplements
Trips extending substantially beyond the greater Seattle metro may carry a mileage or deadhead supplement covering the vehicle's return. This is disclosed on your written quote before booking and is never applied retroactively.
Second vehicle
If actual passenger count or luggage volume exceeds the reserved vehicle's safe capacity as described in Section 22, a second vehicle may be required. Where one can be dispatched, it is billed at the applicable rate for that vehicle class. Where one cannot be dispatched in time, the chauffeur may transport only what fits safely and legally.
Overtime & service extensions.
Hourly, as-directed, and event reservations are contracted for a defined block of time. Time used beyond that block is overtime.
How overtime is billed
- Overtime begins at the contracted end time stated on your confirmation.
- A grace period of ten (10) minutes applies before overtime is assessed.
- Beyond the grace period, overtime is billed in thirty (30) minute increments, rounded up, at the vehicle's applicable hourly rate.
- Overtime is charged to the payment method on file after the trip completes, with an itemized receipt emailed to the customer.
Availability of overtime
Overtime is not guaranteed. Vehicles and chauffeurs are frequently scheduled back-to-back, particularly on weekend evenings, prom nights, and holidays. If the vehicle is committed to a subsequent reservation, the chauffeur must depart at the contracted end time regardless of your circumstances.
If you anticipate running long, notify your chauffeur or dispatch as early as possible — ideally at least sixty minutes before your scheduled end. Early notice dramatically improves the chance we can hold the vehicle. A request made at the contracted end time frequently cannot be honored.
Chauffeur hours of service
Overtime cannot be granted where it would place the chauffeur in violation of Department of Transportation hours-of-service regulations. This limitation is not discretionary and cannot be waived by customer request or additional payment.
Extending before you book is cheaper than extending on the night
If your itinerary is genuinely uncertain, book the longer block. Unused contracted time is charged at your agreed rate; overtime is charged in rounded-up increments and may not be available at all. Our reservations team will tell you honestly when a padded booking is the better call.
Payment policy & authorization.
To secure a reservation with Seattle Limo Service, full payment is required at the time of booking. This ensures that your requested transportation service is confirmed and scheduled accordingly. This applies to all service types, including special event and package reservations.
Payment at booking
Payments can be made using major credit cards, debit cards, or other approved payment methods through our secure online booking system. Any charges processed at the time of booking are refundable only under the terms outlined in the cancellation schedule in Section 09.
Card authorization for additional charges
By providing your payment details at the time of booking, you authorize Seattle Limo Service to securely store your card information for any applicable additional charges that may arise during your ride, including but not limited to:
- Tolls, taxes, and surcharges, if not included in the original fare.
- Extra stop fees for any additional stops requested during the trip.
- Wait fees where the chauffeur waits beyond the applicable grace period.
- Overtime charges under Section 11.
- Ferry fees where the route requires ferry transportation.
- Parking and venue access fees incurred on your behalf.
- Cleaning, sanitation, and damage fees under Section 23.
Any additional fees incurred will be charged to the payment method on file. A receipt detailing the additional charges will be emailed to the customer after the trip is completed.
Payment security & privacy
Seattle Limo Service prioritizes the security and privacy of your payment information. All transactions are processed through a secure, encrypted payment gateway to ensure the protection of sensitive data. We do not share or sell customer payment details to third parties.
Payment at time of service
Our chauffeurs do not accept payment in the vehicle. All transportation must be paid for prior to the scheduled pickup unless a Direct Bill account has been approved under Section 15.
Identification for high-value transactions.
To ensure the security of our customers and prevent fraudulent transactions, Seattle Limo Service has implemented an identification verification policy for reservations exceeding $200.
Identification requirement
Our chauffeurs and staff reserve the right to request a valid government-issued photo ID from customers whose fare total exceeds $200. The identification provided must match the name and payment details on file at the time of booking.
Acceptable forms of ID
- Driver's License
- Passport
- State or National ID Card
- Military ID
Failure to provide identification
If a customer is unable or unwilling to provide valid identification matching the reservation details, Seattle Limo Service reserves the right to decline service. In such cases the reservation may be canceled without a refund if identification cannot be verified. Seattle Limo Service will not be held liable for any inconvenience caused due to the inability to verify the customer's identity.
Vouchers & gift certificates.
Company vouchers & gift certificates
Company-issued vouchers and gift certificates serve as a form of payment and the original voucher must be presented at the time of payment. Additional payment may be required to cover the cost of your ride. If the value on the voucher exceeds the reservation fee, the difference will not be returned.
Vouchers issued by Seattle Limo Service are valid for one year from date of issue or the marked expiration date, whichever comes first. Expired vouchers will not be reissued and cannot be redeemed as a form of payment. Vouchers cannot be replaced or refunded if lost or stolen.
A voucher serves only as a form of payment and does not constitute a reservation. Customers must still schedule a reservation in advance to ensure vehicle availability — particularly for specialty vehicles, where holding a gift certificate does not guarantee a stretch limousine is available on your preferred date.
Third party vouchers
Seattle Limo Service permits a variety of partners to re-sell its services, including travel agents, travel aggregators, hotel concierge desks, and wedding planners. For third party providers, terms and conditions for services and vouchers are established by that provider but shall not supersede the terms established herein.
It is the customer's responsibility to ensure that the terms of any services purchased match the service for which they intend to use it, prior to any posted expiration dates. Expired vouchers cannot be redeemed. Refunds, changes to reservations, and billing issues on reservations made through third party travel partners and agents must be directed to that third-party provider or agent firm for assistance.
Direct bill & corporate accounts.
Seattle Limo Service offers Direct Bill Accounts for eligible customers, providing a flexible payment solution for frequent travelers and corporate clients. These accounts allow authorized users to book transportation services across multiple channels while receiving consolidated billing. Full program details are available on our corporate accounts page.
Booking options
Customers with approved Direct Bill Accounts can book through the following methods:
- Online: Reservations made via our website using the dedicated corporate login.
- By phone: Our reservations team assists with direct bill bookings, including a dedicated dispatch line for enterprise-tier accounts.
- By email: Trip requests sent to your account desk.
- In-vehicle: Account holders may request additional services or modify reservations while in transit, subject to availability.
Billing & payment process
Direct Bill Accounts are invoiced on a consolidated monthly statement. Statements close on the last calendar day of the month and are issued within three business days. A detailed billing statement outlines all completed trips, associated charges, cost-center allocation, and any applicable fees. Payments must be made in accordance with the agreed terms, typically Net 15 or Net 30 days. Late payments may be subject to penalties, including late fees or temporary suspension of account privileges.
Credit approval & eligibility
To establish a Direct Bill Account, customers must submit a credit application for approval. Seattle Limo Service reserves the right to conduct a credit evaluation before approving an account and may request additional financial documentation. Approval is not automatic and may be declined. Newly formed entities or thin credit files may be approved on prepaid terms, a deposit, or a reduced initial limit.
Accounts must be kept in good standing, with timely payments and compliance with all terms of service. Seattle Limo Service reserves the right to modify, suspend, or terminate Direct Bill privileges due to non-payment, misuse, or violation of account terms.
Account terms prevail on rates and cancellation
Where a written account proposal specifies rates, cancellation windows, or service terms differing from this Agreement, the account proposal governs for bookings placed on that account. All other provisions of this Agreement continue to apply. Hourly minimums under Section 05 are not waived by account status.
Discount code terms.
Seattle Limo Service offers discount codes as a promotional benefit to customers booking through our official website. The following terms apply to all discount codes.
Valid use
- Discount codes can only be applied when making a reservation through seattlelimoservice.com or our official mobile application.
- Discount codes must be entered at the time of booking to be valid.
- Discounts are not applicable to bookings made through third-party platforms or service providers.
- Phone reservations are not eligible for discount code redemption.
- Discount codes may not be applied to Direct Bill account bookings, which are governed by negotiated account rates.
Restrictions, limitations & expiration
- Discount codes cannot be combined with other promotions, special offers, or discounts.
- Codes are non-transferable, have no cash value, and cannot be exchanged for refunds, credits, or other benefits.
- Each discount code may have specific terms, such as a minimum fare requirement, vehicle class restriction, usage limit, blackout date, or geographic restriction.
- Discount codes must be used before the expiration date stated in the promotion. Expired codes will not be honored.
Seattle Limo Service reserves the right to modify, suspend, or terminate any discount code promotion without prior notice.
Confirmations & receipts.
Email confirmations
Customers who book through the website or by phone receive an email confirmation upon successful reservation. The confirmation includes complete reservation details: pickup and drop-off locations, date and time of service, vehicle class, service type, contracted duration where applicable, and payment details including fare breakdown and payment status.
Customers are encouraged to review their confirmation email carefully and contact customer support immediately if any discrepancies are found.
Receipts
All reservations are prepaid and confirmed in advance through our online booking system or reservations team. Once payment has been processed, a booking confirmation and payment receipt are emailed to the address provided during the reservation process.
We do not provide printed or in-vehicle receipts. If you need an additional copy of your receipt or invoice after your reservation, you may request one by contacting support and we will be happy to assist.
Where additional charges are assessed after the trip — overtime, wait time, tolls, cleaning — a supplemental receipt itemizing those charges is emailed separately.
Duplicate receipts
If a customer requires a duplicate receipt for any completed reservation, they may contact customer service and provide the necessary booking details for verification. Requests for past receipts may be subject to processing times and availability in our records.
Modifying your reservation.
How to modify a booking
If you need to make changes to your reservation, please contact our customer support team by calling (206) 512-8766. To ensure accurate pricing and vehicle availability, all booking modifications must be made through our reservations team.
Changes such as pickup time, pickup or drop-off location, vehicle class, passenger count, contracted duration, additional stops, or other trip details are subject to availability and may result in a fare adjustment. Any additional charges or credits will be communicated to you before the changes are finalized.
Online booking modifications are not available.
Modifications that function as cancellations
Certain modifications are treated as a cancellation and rebooking rather than a change, and are assessed under the cancellation schedule in Section 09:
- Moving a reservation to a different calendar date.
- Reducing the vehicle count on a multi-vehicle program.
- Downgrading from a specialty vehicle (stretch limousine, party bus, coach) to a standard vehicle inside that vehicle's cancellation window.
- Reducing contracted hours on an hourly reservation below the applicable minimum.
Increasing hours, upgrading vehicle class, or adding vehicles is not a cancellation and carries no penalty — only the applicable fare difference, subject to availability.
Cancelling a reservation
To cancel, log into your account, navigate to Travel History, select the reservation, and follow the prompts. Upon successful cancellation you will receive an email confirmation. You may also cancel by contacting customer support.
Important notes
Modifications made during peak travel periods or holidays may incur additional charges due to high demand. Cancellations and modifications are subject to the cancellation schedule in Section 09, including refund eligibility based on the timing of the request. Failure to cancel a reservation in accordance with our policy will result in full fare charges without eligibility for a refund.
Refund processing.
Refund eligibility is determined by the cancellation schedule in Section 09. This section covers how approved refunds are processed and when to expect them.
Credit card refund processing
Once a refund request is approved, Seattle Limo Service will process the refund within 24 hours (excluding weekends and federal holidays). The refund is issued to the original payment method used at the time of booking. Processing times may vary depending on your financial institution — typically three to ten business days for the credit to appear. Customers are encouraged to check with their bank or card provider for status updates.
Partial refunds
Where the cancellation schedule provides for a 50% refund, the refund is calculated on the base transportation fare. Prepaid gratuity is refunded in full in every case, as no service was rendered. Third-party pass-through costs already incurred on your behalf — venue deposits, permit fees, non-refundable ferry reservations — are deducted where applicable and itemized on the refund notice.
Corporate account refunds
Refunds on Direct Bill accounts are generally applied as a credit against the next monthly statement rather than issued as a separate payment. Where a customer requests a check refund, requests are processed daily and entered into our financial system for disbursement. Refunds issued via check are processed once per week, with checks prepared and mailed every Friday.
Refund checks are mailed to the address provided by the account holder at the time of the request. Delivery times may vary depending on the postal service and are subject to delays due to federal holidays or other mail disruptions. If an incorrect mailing address is provided or changes occur after submission, it is the responsibility of the account holder to notify us immediately to prevent delays.
Chargebacks
If you believe a charge is incorrect, contact us before initiating a chargeback. We resolve legitimate billing errors promptly and without argument. Chargebacks filed on charges that are valid under this Agreement — including no-show charges under Section 08 and late-cancellation charges under Section 09 — will be contested with documentation, and may result in suspension of booking privileges.
Vehicle assignment & substitution.
You reserve a vehicle class, not a specific vehicle. Photographs on our website and in our fleet pages are representative of the class and do not depict the specific vehicle that will be assigned to your reservation.
Right of substitution
Seattle Limo Service reserves the right to substitute a vehicle of equal or greater capacity and comparable or superior quality where the originally assigned vehicle becomes unavailable due to mechanical failure, accident, prior-trip delay, or any other operational cause. A substitution of equal or greater capacity and comparable quality does not entitle the customer to a refund, discount, or cancellation without penalty.
Downgrades
Where we cannot provide a vehicle of equal or greater capacity and must offer a downgrade, you will be contacted before dispatch and given the choice to:
- Accept the substitute vehicle at the lower of the two applicable rates, with the difference refunded; or
- Cancel the reservation for a full refund regardless of the timing of the cancellation.
We do not silently downgrade. If the vehicle that arrives is smaller or of a lower class than what you reserved and you were not contacted in advance, contact dispatch immediately and the trip will be repriced or refunded.
Specific vehicle requests
Requests for a specific vehicle — a particular color, model, or unit you have ridden in previously — are recorded as preferences and honored wherever operationally possible. They are not guaranteed and do not form part of the contract unless expressly confirmed in writing as a guaranteed assignment, which we do only for certain wedding and event bookings.
Amenity availability
Onboard amenities vary by individual vehicle within a class. Bar sections, lighting packages, sound systems, dance poles, screens, and other features differ between units. Where a specific amenity is material to your booking, state it at the time of reservation so we can confirm availability in writing. Absent written confirmation, no particular amenity is guaranteed.
Seat belt policy.
Customer safety is our top priority. To ensure the well-being of all passengers, we require compliance with seat belt laws at all times while inside our vehicles.
Seat belt requirement
All Seattle Limo Service vehicles are equipped with properly functioning seat belts for every designated seating position. Passengers are required to wear seat belts for the duration of the ride, as mandated by local and state laws. It is the customer's responsibility to ensure their seat belt is securely fastened immediately upon entering the vehicle and remains fastened throughout the trip.
Limousines, party buses & perimeter seating
Certain specialty vehicles are manufactured with perimeter or bench seating configurations. Where those vehicles are equipped with seat belts at a seating position, the belt must be worn. Passengers must remain seated while the vehicle is in motion. Standing, dancing, or moving about the cabin while the vehicle is moving is prohibited and is grounds for immediate termination of the trip without refund.
Compliance & chauffeur discretion
Seattle Limo Service strictly adheres to all applicable state and federal safety regulations concerning passenger restraint systems. Parents and guardians are responsible for ensuring that children and minors comply with seat belt and child safety seat laws. Failure to comply with seat belt laws may result in legal penalties, including fines imposed by law enforcement.
Chauffeurs reserve the right to deny service to any passenger who refuses to wear a seat belt or fails to comply with applicable seat belt laws. If a passenger refuses to fasten their seat belt and does not comply after being advised by the chauffeur, the chauffeur may terminate the trip immediately, and no refunds will be issued.
Vehicle capacity & luggage.
Seating capacity
Our fleet includes sedans, SUVs, stretch limousines, stretch SUV limousines, Sprinter vans, party buses, mini coaches, and motor coaches, each with designated seating capacities based on vehicle type and safety regulations:
- Executive sedans: typically up to 3 passengers with limited luggage space.
- Executive SUVs: typically up to 6 passengers, with moderate luggage capacity.
- Stretch limousines: typically 8 to 10 passengers. Stated capacity assumes standard seating and light luggage only.
- Stretch SUV limousines: typically 14 to 20 passengers depending on unit.
- Sprinter vans: typically 10 to 14 passengers with a dedicated luggage area.
- Party buses: typically 18 to 40 passengers depending on unit.
- Mini coaches and motor coaches: typically 24 to 56 passengers with undercarriage luggage bays.
Seating capacity varies by individual vehicle and model. Please verify your specific passenger count when making a reservation.
Stated capacity is a maximum, not a comfort rating
A ten-passenger stretch limousine seats ten adults legally. It does not seat ten adults in formal wear comfortably for a four-hour evening. For weddings, proms, and long bookings, we routinely recommend booking one class up — and we will tell you when your party count is at the edge of a vehicle's realistic comfort rather than letting you find out on the night.
Luggage guidelines
Standard luggage allowance is based on available cargo space per vehicle. Oversized or excessive luggage — large suitcases, golf bags, ski and snowboard equipment, musical instruments, or additional bags — may exceed the vehicle's capacity and require a larger vehicle or a second vehicle at additional cost. Stretch limousines in particular have very limited luggage capacity and are generally unsuitable for airport transfers with checked bags.
To avoid last-minute problems, customers should inform us at the time of booking if traveling with extra luggage, large items, or specialty equipment.
Safety & compliance
All passengers must be seated in a designated seating position. State law strictly prohibits overloading vehicles beyond their designated seating capacity. Any attempt to exceed the legally allowed passenger limit may require additional vehicle reservations, billed accordingly. The chauffeur has final authority to deny boarding to passengers exceeding legal capacity, and this authority cannot be overridden by the customer.
Damage, cleaning & sanitation fees.
Customers are responsible for the condition of the vehicle during their reservation, including the conduct of every member of their party. The customer who placed the reservation is financially responsible for all damage and cleaning charges regardless of which passenger caused them.
Fee schedule
| Charge | When it applies | Amount |
|---|---|---|
| Standard cleaning | Spills, stains, or debris requiring detail beyond normal turnaround | $150 |
| Sanitation / biohazard | Vomit, bodily fluids, or any condition requiring the vehicle to be taken out of service | $350 |
| Smoking violation | Any smoking, vaping, or use of tobacco or cannabis products in the vehicle | $250 plus cleaning |
| Burn damage | Burns to upholstery, carpet, or trim | Repair cost at invoice |
| Glassware & amenity replacement | Broken or removed barware, glasses, or fixtures | Replacement cost at invoice |
| Equipment damage | Damage to sound systems, screens, lighting, doors, or seating | Repair cost at invoice |
| Lost revenue / downtime | Where damage removes the vehicle from service and forfeits confirmed bookings | Value of forfeited bookings |
Cleaning and sanitation fees are flat charges covering labor and lost availability. Damage charges are billed at documented repair or replacement cost, supported by an invoice provided to the customer on request.
Documentation
Chauffeurs photograph vehicle condition before and after each specialty vehicle reservation. Where a damage or cleaning fee is assessed, photographic documentation and the applicable repair invoice are made available to the customer on request. We do not assess these charges without evidence, and we will not charge for pre-existing conditions documented at the start of your reservation.
Disputes
If you believe a damage or cleaning charge is incorrect, contact us within seven (7) days of the charge with your reasoning. We review every dispute against our documentation and reverse charges we cannot substantiate.
Refreshments, smoking & controlled substances.
Seattle Limo Service is committed to providing a clean, comfortable, and safe travel experience for all passengers. To maintain the highest standards of cleanliness and air quality, smoking is strictly prohibited in all Seattle Limo Service vehicles without exception, including stretch limousines and party buses.
Prohibited substances
The use of cigarettes, cigars, electronic cigarettes, vaping devices, hookah, and any other smoking-related products is strictly forbidden inside all vehicles. This prohibition extends to cannabis products in any form. Although cannabis is legal for adult use in Washington State, its use and open transport in a vehicle for hire is not permitted, and consumption in our vehicles is prohibited regardless of state law.
The use, possession, or distribution of controlled or illegal substances is strictly prohibited and will result in immediate termination of service without a refund, and where appropriate, notification of law enforcement.
Compliance & enforcement
Chauffeurs reserve the right to deny service or discontinue a trip if a passenger is found smoking in violation of this policy. Customers who violate the no-smoking policy are subject to the cleaning and violation fees in Section 23, as well as potential fines or penalties.
Complimentary refreshments
Complimentary bottled water may be provided on select vehicles at the Company's discretion. For health, safety, and liability reasons, the Company does not provide food, snacks, ice, mixers, or other consumable items unless specifically stated in writing as part of a custom service package.
Passengers are welcome to bring their own food and non-alcoholic beverages into the vehicle, subject to Section 25 regarding alcohol. Passengers are responsible for any food or beverages they bring, including compliance with dietary restrictions, allergies, and safe handling. The Company assumes no responsibility for food or beverages supplied by passengers.
To help maintain the cleanliness of our vehicles, passengers may be responsible for additional cleaning fees if food or beverages result in excessive spills, stains, odors, or damage beyond normal use.
Alcohol policy.
Alcohol policy differs by vehicle type and is governed by Washington State law. Read this section carefully before assuming alcohol is permitted on your booking.
Standard vehicles
Alcohol consumption is not permitted in executive sedans, SUVs, Sprinter vans, airport transfer vehicles, or any other standard vehicle, unless expressly authorized by the Company in writing and permitted by applicable Washington State law.
Limousines & party buses
For limousine and party bus services, alcohol may be permitted only when all applicable Washington State laws and permit requirements have been satisfied. Where a liquor permit is required under Washington State Liquor and Cannabis Board rules, it is the client's responsibility to:
- Determine whether a permit is required for the intended use.
- Obtain the appropriate permit prior to the reservation date.
- Provide a copy of the permit to the Company before the trip begins.
- Ensure compliance with all applicable laws throughout the reservation.
The Company reserves the right to request proof of any required permit before the reservation begins, and to refuse to commence the trip with alcohol aboard if that proof is not produced.
Age requirements & minors
All passengers consuming alcohol must be 21 years of age or older and must be able to produce valid government-issued identification on request. Where any passenger under 21 is present in the vehicle, no alcohol is permitted aboard at any time, regardless of permits held, the age of other passengers, or parental consent. Parental permission does not create an exception to Washington State law and will not be honored.
Zero tolerance — furnishing alcohol to minors
Providing alcohol to any passenger under 21 results in immediate termination of the trip without refund, forfeiture of all amounts paid, and notification of law enforcement. This applies without exception and without warning. The chauffeur's judgment on this point is final and is not subject to negotiation in the vehicle.
Right to refuse or discontinue
The Company reserves the right to refuse or discontinue alcohol consumption at any time if passenger conduct becomes unsafe, disruptive, unlawful, or interferes with the safe operation of the vehicle. The chauffeur may immediately terminate the trip without refund if passengers engage in illegal activity, provide alcohol to minors, or fail to comply with the chauffeur's instructions.
Open containers & the passenger compartment
Where alcohol is permitted, it must remain within the passenger compartment. Open containers may not be removed from the vehicle at any stop. Passengers exiting the vehicle with open containers place the reservation in violation and may cause the trip to be terminated.
Chauffeur prohibition
The chauffeur is strictly prohibited from consuming alcohol or being in possession of any alcoholic beverage while operating the vehicle, and from purchasing or transporting alcohol on behalf of passengers.
Decorations & onboard amenities.
Vehicle decoration
Decoration of vehicles for weddings, quinceañeras, birthdays, and similar occasions is permitted subject to prior arrangement and the following conditions:
- Decorations must be discussed and approved at the time of booking, not presented to the chauffeur on the day.
- Nothing may be affixed using adhesive tape, glue, staples, nails, or any material that leaves residue on paint, glass, upholstery, or trim.
- Magnetic mounts, ribbon ties, and removable window clings are generally acceptable.
- Nothing may obstruct the chauffeur's view, block lights or plates, or interfere with vehicle operation.
- Confetti, glitter, silly string, rice, birdseed, and loose petals are prohibited inside the vehicle and trigger cleaning fees under Section 23.
- The customer is responsible for removing all decorations at the end of the reservation. Items left behind are handled under Section 36.
Onboard amenities & equipment
Sound systems, lighting packages, screens, and other onboard equipment are provided for passenger enjoyment and operated at the chauffeur's discretion. The chauffeur may reduce volume or disable equipment where it interferes with safe operation, violates local noise ordinances, or where passenger conduct warrants it.
Passengers may connect personal devices to available auxiliary or Bluetooth inputs where the vehicle is so equipped. The Company is not responsible for damage to, or loss of, personal devices connected to vehicle systems.
Amenity availability varies by individual vehicle. See Section 20 regarding guaranteed amenities.
Prohibited items
The following may not be brought aboard any vehicle: firearms and weapons of any kind, fireworks, open flame including candles, illegal substances, and any item prohibited by federal, state, or local law. Chauffeurs may refuse boarding to any passenger in possession of a prohibited item.
Prom, school & youth events.
Bookings for prom, homecoming, graduation, quinceañeras, sweet sixteens, and similar youth-oriented events are subject to additional requirements. These exist because we operate these bookings safely or not at all.
Adult booking party
All youth event reservations must be booked and paid for by a parent, legal guardian, or other adult aged 21 or older, who is identified on the reservation as the responsible party. That adult is financially responsible for the reservation, including any damage, cleaning, or overtime charges assessed.
Zero tolerance
Youth event bookings carry an absolute prohibition on alcohol, cannabis, and controlled substances aboard the vehicle — regardless of the age of any individual passenger and regardless of any permit. There is no exception for an eighteen-year-old passenger, a twenty-one-year-old sibling, or a parent traveling with the group.
If the chauffeur observes or reasonably suspects alcohol or drug use, or discovers prohibited items aboard, the chauffeur will:
- Terminate the trip immediately.
- Return passengers to the original pickup location or the nearest safe location, at the chauffeur's discretion.
- Contact the responsible adult identified on the reservation.
- Contact law enforcement where circumstances warrant.
No refund is issued where a trip is terminated under this provision.
Itinerary & stop restrictions
Youth event reservations operate against a defined itinerary agreed with the responsible adult before the date. Passengers may not add, change, or remove stops during the trip. Requests to deviate from the agreed itinerary must come from the responsible adult directly to dispatch, not from passengers to the chauffeur.
Chaperones
We do not require a chaperone aboard for prom bookings, but we accommodate one at no additional passenger charge where the vehicle's capacity allows and the responsible adult requests it at booking.
What we tell parents
Chauffeurs on youth event bookings are instructed to contact the responsible adult about safety concerns rather than manage them alone. If you are the parent booking this, give us a number you will actually answer on the night. That single detail matters more than anything else on the reservation.
Special handling & accessible transport.
Seattle Limo Service is committed to providing inclusive and accessible transportation for all passengers, including those with disabilities or special mobility needs.
Accessible services
We offer wheelchair-accessible vehicles to accommodate passengers who use manual or motorized wheelchairs. Availability of accessible vehicles is more limited than our standard fleet, and advance notice materially improves our ability to serve you.
Passengers traveling with service animals are fully accommodated in compliance with the Americans with Disabilities Act (ADA). Service animals are welcome aboard at no additional charge and require no advance notice, though telling us helps us assign an appropriate vehicle.
If special assistance is required — mobility aids, transfer assistance, folding wheelchair stowage, additional boarding time — please inform us at the time of booking so appropriate accommodation can be arranged.
Reservation requirements
All services require reservations to ensure vehicle availability and proper accommodation of accessibility needs. To guarantee the availability of an accessible vehicle, we recommend booking as early as possible, particularly during peak travel periods. Our trained chauffeurs and staff will provide reasonable accommodation to ensure a safe and smooth travel experience.
Honest limits
Not every vehicle class in our fleet is available in an accessible configuration. Stretch limousines and certain party buses cannot accommodate a motorized wheelchair. Where your requested vehicle class cannot meet your accessibility requirement, we will tell you at the time of booking and propose an alternative rather than accepting the reservation and resolving it on the day.
Traveling with children.
Booking for children
When making a reservation, please indicate the number of children traveling and their ages to ensure adequate seating accommodation. Children cannot ride on the lap of an adult under any circumstances, as prohibited by state safety law. Every child must have their own designated seating position equipped with a working safety belt. Children count toward the vehicle's stated passenger capacity.
Child safety seats
If your child is under the minimum age, height, or weight standards required by Washington State law, you must provide an approved child safety seat that meets all legal safety requirements. Seattle Limo Service does not provide car seats as standard. Where a child seat is requested and available, it is provided as an optional service at additional cost, and must be requested at the time of booking.
Installation and proper securing of any child restraint is the responsibility of the parent or guardian. Our chauffeurs may assist but do not certify correct installation.
Laws regarding child safety restraints vary by state. We strongly recommend that parents and guardians familiarize themselves with child passenger safety laws of all states in which they will be traveling.
Specialty vehicles & child restraints
Certain specialty vehicles — particularly stretch limousines with perimeter seating — may not have seating positions compatible with standard child safety seats. If you are traveling with a child requiring a restraint, tell us at booking so we can assign a suitable vehicle. Discovering this at pickup frequently means we cannot legally carry the child.
Safety guidelines
All children must remain properly seated and secured for the duration of the trip. Parents and guardians are responsible for supervising their children at all times while inside the vehicle. If proper seating arrangements and safety restraints are not in place at the time of pickup, Seattle Limo Service reserves the right to deny service without a refund in order to comply with safety regulations.
Traveling minors.
Age requirement for unaccompanied minors
Passengers under the age of 16 must be accompanied by a parent, legal guardian, or a responsible adult for the entire duration of the trip. Seattle Limo Service does not permit unaccompanied minors under 16 to travel alone in any of our vehicles.
Passengers aged 16 and 17 may travel unaccompanied only where the reservation was booked and paid for by a parent or legal guardian who is identified on the reservation and reachable throughout the trip.
Chauffeur discretion
Our chauffeurs reserve the right to refuse service if a minor is not old enough to ride alone and is unaccompanied by an adult. If a reservation is made for an underage passenger without an accompanying adult in violation of this section, the trip will be canceled and a refund may not be issued.
Parent/guardian responsibility
It is the responsibility of parents or guardians to ensure proper supervision and accompaniment for minors during their journey. Parents and guardians must provide accurate contact information reachable for the duration of the trip in case of emergency or unexpected travel disruption.
Pet policy.
Seattle Limo Service welcomes pets and service animals aboard our vehicles, ensuring a comfortable and safe travel experience for all passengers.
Pet travel requirements
All non-service animals must be pre-booked to ensure proper accommodation and appropriate vehicle assignment.
Kennel requirement: All pets, except service animals, must be securely placed in an appropriately sized, well-ventilated, and fully enclosed carrier for the duration of the ride.
- Pets under 20 pounds may be transported in a lap carrier as long as the carrier remains securely held or fastened during transit.
- Pets over 25 pounds may require booking an SUV or van reservation to ensure adequate space and safe carrier placement.
Pets must be well-behaved, non-aggressive, and accustomed to travel. Owners are responsible for cleaning up after their pets and ensuring that carriers remain clean and odor-free. Cleaning fees under Section 23 apply where a pet soils the vehicle.
Pets are not permitted in stretch limousines or party buses except as service animals, due to interior materials and cleaning turnaround requirements.
Service animals
Service animals are always permitted in Seattle Limo Service vehicles in compliance with the Americans with Disabilities Act (ADA). No kennel is required for service animals, and no additional fee applies. Passengers should be mindful of vehicle space limitations when booking, and indicating a service animal at reservation helps us assign an appropriate vehicle.
Passenger conduct & termination of service.
Our chauffeurs are employees who are entitled to a safe workplace. This section describes the conduct required of passengers and the circumstances in which a trip may be terminated.
Required conduct
Passengers must:
- Follow the chauffeur's instructions regarding safety, seating, and vehicle operation.
- Remain seated while the vehicle is in motion.
- Refrain from behavior that distracts the chauffeur or interferes with safe operation.
- Treat the chauffeur and other passengers with respect.
- Comply with all applicable laws throughout the reservation.
Grounds for immediate termination
The chauffeur may terminate a trip immediately, at any location the chauffeur judges reasonably safe, where passengers:
- Engage in illegal activity of any kind.
- Provide alcohol to any person under 21.
- Use or possess controlled substances aboard the vehicle.
- Threaten, harass, or physically contact the chauffeur or another passenger.
- Direct discriminatory or abusive language at the chauffeur.
- Damage the vehicle intentionally or through reckless behavior.
- Refuse to remain seated or wear seat belts after being instructed.
- Exceed the vehicle's legal capacity.
No refund is issued where a trip is terminated for cause under this section, and the full contracted fare remains payable. Damage and cleaning fees under Section 23 apply in addition.
Chauffeur discretion
The chauffeur is the final authority on safety inside the vehicle. Chauffeur decisions regarding capacity, seating, alcohol, prohibited items, and termination for cause are not subject to negotiation during the trip. If you believe a chauffeur exercised that authority incorrectly, contact us afterward — we investigate every complaint and issue refunds where our review finds the chauffeur acted unreasonably.
Refusal of future service
Seattle Limo Service reserves the right to decline future reservations from any customer whose prior conduct resulted in termination for cause, and to suspend account or booking privileges accordingly.
User responsibility & booking accuracy.
Accurate information
By submitting a reservation request, the customer agrees that all provided information — including pickup and drop-off locations, travel dates, times, contact details, passenger count, luggage volume, and vehicle class — is accurate and complete. Seattle Limo Service is not responsible for errors made by customers while booking through our website, mobile application, or reservations team.
Confirmation & review
To assist customers in verifying their reservation details, we provide:
- Email confirmation: A detailed confirmation is sent immediately after booking. Customers should review it carefully and report discrepancies as soon as possible.
- Reminder notifications: SMS and email reminders are sent ahead of your scheduled pickup, providing an additional opportunity to verify details and make necessary changes.
Liability for user errors
Customers who identify errors in their reservation must contact us at least four (4) hours in advance to request modifications. Seattle Limo Service is not liable for missed rides, incorrect pickup or drop-off locations, or other inconveniences resulting from customer errors in the booking process. Any costs incurred due to incorrect information provided by the customer — including additional fares, wait fees, or last-minute rescheduling — are the customer's responsibility.
Travel times, delays & service advisories.
Travel delays
Seattle Limo Service and its partners cannot guarantee exact arrival or drop-off times due to factors such as heavy traffic congestion, severe weather conditions, road closures, detours, accidents, unscheduled transportation or security delays, ferry schedule disruptions, and other unforeseen circumstances beyond our control.
While we make every effort to provide timely service, we are not liable for delays caused by these external factors. If a significant delay is anticipated, Seattle Limo Service reserves the right to cancel reservations in advance and issue a full refund to affected customers.
On-time guarantee
Our published 15-minute on-time commitment applies to the chauffeur's arrival at the scheduled pickup location for confirmed reservations under normal operating conditions. It does not apply to short notice reservations under Section 07, and it is suspended during force majeure events under Section 35. It is a commitment about our dispatch performance, not a guarantee of arrival time at your destination.
Customer notifications
Where service interruptions, delays, or route changes occur due to severe weather, traffic incidents, or operational disruptions, we will make every effort to inform customers in advance through direct SMS and email notification to affected customers, and via our website. We encourage all passengers to check for updates before their scheduled travel, particularly during peak travel times or inclement weather.
Customer responsibility
Customers should allow extra time when planning transportation, particularly for airport transfers, cruise terminal drop-offs, and time-sensitive travel. It is the customer's responsibility to monitor weather conditions, flight schedules, and local traffic reports to anticipate potential delays. Seattle Limo Service will not reimburse costs incurred due to missed flights, missed sailings, missed appointments, or other travel connections resulting from delays outside our control.
Force majeure.
Neither party shall be liable for failure to perform, or delay in performing, any obligation under this Agreement where that failure or delay results from causes beyond its reasonable control.
Qualifying events
Force majeure events include but are not limited to: acts of God; severe weather including snow, ice, flooding, and windstorm; earthquake and volcanic activity; wildfire and hazardous air quality; pandemic, epidemic, and public health emergency; government order, curfew, or travel restriction; road, bridge, tunnel, or ferry closure; civil unrest; labor action; terrorism; power or telecommunications failure; and cyber-attack.
Effect on reservations
Where a force majeure event prevents Seattle Limo Service from performing a confirmed reservation, we will, at the customer's election:
- Issue a full refund of all amounts paid; or
- Rebook the reservation to an alternative date within twelve (12) months at the originally contracted rate, subject to availability.
Where a force majeure event prevents the customer from using a confirmed reservation — a cancelled flight, a closed venue, a postponed event — the cancellation schedule in Section 09 applies as written. We recognize this outcome is unwelcome, and our reservations team has discretion to offer credit in genuine hardship cases. That discretion is exercised in good faith but is not a contractual entitlement.
Safety override
Seattle Limo Service will not dispatch a vehicle into conditions our operations team judges unsafe. This decision rests entirely with us and cannot be overridden by customer request or by an offer of additional payment. Where we decline to dispatch on safety grounds, a full refund is issued.
Lost & found policy.
Reporting lost items
If you believe you have left an item in a Seattle Limo Service vehicle, please contact us as soon as possible by calling (206) 512-8766, emailing info@seattleairportlimo.com, or submitting a lost item report via our website. Report promptly — vehicles are cleaned and returned to service quickly.
Required information
To help us locate your item, you will be asked to provide a description of the item including color, brand, size, and distinguishing features; the date and time of your ride; pickup and drop-off locations; vehicle details if known; your reservation reference number; and your contact information. Providing as much detail as possible expedites the search.
Recovery & limitations
If your item is found, our team will contact you with instructions on retrieval. Customers are responsible for arranging pickup of recovered items or covering applicable shipping costs if the item is mailed. Unclaimed items are held for thirty (30) days before being discarded or donated.
Seattle Limo Service is not responsible for lost, stolen, or damaged property left behind in our vehicles. We will make reasonable efforts to recover lost items but cannot guarantee retrieval. Valuable or sensitive items — electronics, passports, wallets, jewelry, medication — should be kept securely in your possession at all times.
Service pricing & descriptions.
Displayed rates
Rates displayed for vehicles and services on our website represent our standard published rates for the vehicle class in question, an estimate based on the trip parameters you have entered, or a starting rate from which your final quote is built. Published starting rates are a comparative estimate and may not reflect the prevailing rate on every date, for every route, or for every vehicle within a class.
Rates for corporate account holders are governed by the written account proposal rather than published rates.
Pricing accuracy & adjustments
We make every effort to ensure the accuracy of displayed pricing. In the event of a mispricing or error in the displayed fare, we may contact the customer before their scheduled ride to confirm whether they would like to proceed at the corrected fare, or cancel the booking with a full refund if the customer does not agree to the updated price.
Seattle Limo Service is not obligated to honor incorrect pricing resulting from technical errors, system malfunctions, or unintended miscalculations. Where we correct a price, you always have the option of a full refund rather than being held to a corrected rate you did not agree to.
Pricing variability
Prices fluctuate based on availability, demand, seasonal variation, peak dates, local regulation, and fuel costs. Promotional discounts, exclusive offers, and third-party partnerships may impact final pricing. Seattle Limo Service reserves the right to update pricing at any time without prior notice to reflect market conditions or operational adjustments. A confirmed, paid reservation is locked at the rate confirmed and is not subject to subsequent increase.
Gratuity
Gratuity is selected by the customer at the time of booking and is not automatically added unless disclosed at checkout or set at the account level for Direct Bill customers. Gratuity, where prepaid, is passed to the chauffeur. Prepaid gratuity is refunded in full on any cancellation, at any tier, since no service was rendered.
Changes to terms & conditions.
Seattle Limo Service reserves the right to modify, amend, or update these Terms and Conditions at any time, at our sole discretion. Changes may reflect updates in business operations, legal requirements, industry standards, or service enhancements.
Notification & acceptance
Any modifications will be published on our official website with a notice indicating the date of the most recent update. In certain cases, we may also notify customers of significant changes via email or other communication channels.
It is the customer's responsibility to review the Terms and Conditions periodically to stay informed of updates. Continued use of our services — visiting our website, making reservations, or participating in any program after the publication of an updated agreement — constitutes binding acceptance of the changes. If you do not agree with the revised Terms and Conditions, you must discontinue use of our services immediately.
Terms applicable to existing reservations
The Terms and Conditions in effect at the time your reservation was confirmed and paid govern that reservation, including its cancellation window and refund treatment. Subsequent amendments apply to bookings placed after the amendment date.
Scope of modifications
Changes to this agreement may include, but are not limited to:
- Adjustments to booking policies, cancellation policies, or refund procedures.
- Updates to pricing structures, service fees, or additional charges.
- Modifications related to safety regulations, legal compliance, or operational standards.
Intellectual property & ownership.

- Decompile, reverse engineer, disassemble, or attempt to derive source code from any software, platform, or proprietary technology we own.
- Reproduce, distribute, sell, or create competing services or products based on access to our proprietary systems, website, or business models.
- Use, disclose, or exploit any proprietary or confidential information gained through your access to our services for any unauthorized purpose.
- Scrape, harvest, or systematically extract content, rates, or availability data from the Site by automated means.
Enforcement
Any unauthorized use, reproduction, or modification of Seattle Limo Service's intellectual property may result in legal action under applicable copyright, trademark, and trade secret laws. We reserve the right to suspend or terminate access to our services if a user is found in violation of these terms.
Website use & modifications.
Seattle Limo Service reserves the right to modify, update, suspend, or remove any part of its website, services, or content at any time, with or without prior notice.
Website modifications
We may, at our sole discretion, change, enhance, restrict, suspend, or discontinue any portion of the website or its services, either temporarily or permanently, without prior notification. This may include changes to features, pricing, or service offerings; updates to user interfaces, booking tools, or account management systems; and temporary or permanent removal of content, web pages, or functionality.
Seattle Limo Service shall not be held liable for any inconvenience, loss, or damage resulting from such changes, suspensions, or removals.
Liability disclaimer
We shall not be responsible for website downtime, technical disruptions, or accessibility issues due to maintenance, updates, or external factors. We reserve the right to restrict access to certain services or areas of the website at our discretion.

Confidentiality & non-disclosure.
Confidential information
Any information obtained from Seattle Limo Service, its service providers, partners, or customers is considered confidential and proprietary. This includes but is not limited to: customer data such as names, contact details, travel itineraries, and payment information; business operations, pricing models, and service agreements; marketing strategies, partnerships, and internal processes; and technical systems, booking software, and proprietary technology.
Passenger confidentiality
Our chauffeurs are trained to maintain discretion regarding passenger identity, conversation, and destinations. We do not disclose passenger information to third parties except as required by law or with the customer's authorization. Corporate accounts requiring formal non-disclosure agreements for executive, investor, or legal transportation may request one through their account manager.
Non-disclosure obligations
By accessing or receiving proprietary information from Seattle Limo Service, you expressly agree not to:
- Disclose, share, or distribute any proprietary or confidential information to third parties.
- Reproduce, copy, or use confidential information for any unauthorized purpose.
- Sell, disseminate, or commercially exploit our proprietary business information in any manner.

Legal compliance
Seattle Limo Service reserves the right to pursue legal action against any individual, business, or third party that breaches this Confidentiality Policy. Violations of privacy laws, data protection regulations, or non-disclosure agreements may result in civil or criminal liability. We maintain compliance with applicable data protection laws, including the General Data Protection Regulation (GDPR) and the California Consumer Privacy Act (CCPA), and the Washington My Health My Data Act where applicable.
Mobile OTP (one-time password).
Seattle Limo Service considers security, user privacy, and compliance with relevant regulations when sending one-time passwords. The following points outline our OTP policy:
- User consent: We obtain clear and informed consent from users before sending OTPs to their mobile devices, and clearly explain the purpose of OTPs and how they will be used.
- Purpose: We clearly state the purpose of sending OTPs — account verification, password reset, transaction authorization, or two-factor authentication.
- Security measures: We implement robust security measures to protect OTPs from unauthorized access or interception, including encryption, secure transmission protocols, and secure storage.
- Message content: OTP messages are concise, informative, and clearly indicate their purpose. We avoid including sensitive or personally identifiable information in the message itself.
- Message delivery: We ensure OTPs are delivered promptly and reliably to the registered mobile number via reliable SMS gateways.
- Message expiry: We set an appropriate expiry time for OTPs to mitigate the risk of misuse. Once an OTP expires, it is no longer valid.
- Opt-out options: Users can opt out of receiving OTPs if they no longer wish to use the associated services or prefer alternative authentication methods.
- Data retention: We define a data retention policy specifying how long OTPs and associated user data are stored.
- Compliance: We adhere to relevant data protection and privacy regulations, including GDPR and CCPA.
SMS notification service.
Seattle Limo Service provides SMS notifications ("Ride Alerts") to keep passengers informed about transaction-related details regarding their reservations.
Explanation of service
These messages may include, but are not limited to:
- Booking confirmations and reminders prior to scheduled pickup.
- Real-time notifications when your chauffeur is en route to your location.
- Arrival alerts when your chauffeur has reached the designated pickup location.
- Flight-tracking updates and dispatch adjustments for airport reservations.
You can manage the types of notifications you receive through your account settings on our website at seattlelimoservice.com.
Subscribing & opt-out
Any Seattle Limo Service passenger profile with a valid mobile phone number will automatically be enrolled in Ride Alerts upon account setup unless otherwise specified. SMS notifications are sent exclusively for transactional purposes and in compliance with the U.S. Telephone Consumer Protection Act (TCPA) of 1991 and the CAN-SPAM Act of 2003.
To opt out via SMS: Reply to any received message with the word STOP from your mobile phone.
To opt out via online account: Log in, navigate to notification preferences, and adjust your settings. Once you opt out, you will receive a confirmation message and will no longer receive Ride Alerts unless you re-subscribe.
Pricing & carrier charges
Seattle Limo Service provides SMS notifications free of charge. However, message and data rates may apply based on your mobile carrier's text plan. Please check with your carrier for specific SMS rates and fees.
Eligibility
By subscribing to Ride Alerts, you confirm that you are at least 18 years old and that you are either the registered owner of the mobile number provided, or you have explicit permission from the mobile account holder. Seattle Limo Service is not responsible for unauthorized use of the SMS service.
Customer support
For help with Ride Alerts, call customer support at (206) 512-8766, or request assistance from your mobile phone by texting the word HELP to the number from which you received the original SMS.
Non-waiver policy.
Seattle Limo Service's failure to enforce, insist upon, or require strict compliance with any term, condition, or covenant outlined in this Agreement shall not be construed as a waiver, relinquishment, or forfeiture of our rights, remedies, or ability to enforce those provisions in the future.
No waiver of rights
Any failure, delay, or omission by Seattle Limo Service to exercise or enforce any right, power, or remedy under these Terms and Conditions shall not be interpreted as a waiver of such rights or remedies. We retain full authority to enforce compliance with all terms at any time, regardless of prior leniency or inaction. Any waiver of a specific provision must be made explicitly in writing and authorized by Seattle Limo Service to be considered valid.
No implied waivers
No waiver shall be implied based on conduct, silence, or past practices. Each instance of non-enforcement shall be treated independently, and we reserve the right to enforce compliance at any time. A waiver of enforcement for any provision shall not constitute a waiver of subsequent breaches of the same provision or of other provisions within these Terms and Conditions.
By way of example: a goodwill refund issued outside the cancellation schedule in Section 09 does not modify that schedule or create an entitlement to the same treatment on a future booking.
Miscellaneous terms.
This Agreement sets forth the full understanding between Seattle Limo Service and the user regarding the terms governing the use of our website, services, and related programs.
Governing law & jurisdiction
This Agreement shall be governed by and construed in accordance with the substantive laws of the State of Washington, without reference to conflict-of-law principles. Any dispute, controversy, or legal matter arising from or related to this Agreement shall be irrevocably submitted to the exclusive jurisdiction of the state and federal courts located in King County, Washington. The jurisdiction of any other courts is expressly excluded, regardless of your actual state or country of residence.
Informal resolution first
Before filing any claim, you agree to contact us at info@seattleairportlimo.com and give us thirty (30) days to resolve the matter informally. Most disputes we receive are billing questions that we resolve the same week. This provision does not limit your right to proceed after that period.
Entire agreement & modifications
This Agreement constitutes the entire agreement between Seattle Limo Service and the user regarding the subject matter herein. No other agreements, representations, or warranties — whether oral, written, or implied — shall bind either party unless explicitly stated in this Agreement or in a signed written account proposal under Section 15.
Seattle Limo Service reserves the right to update, modify, or revise this Agreement at any time. Any changes will be posted on our website, and continued use of our services constitutes acceptance of those modifications, subject to Section 38 regarding existing reservations.
Assignment & severability
User rights under this Agreement are non-transferable and non-assignable. Any attempt to assign or transfer your rights to another individual or entity may result in immediate termination of this Agreement without liability to Seattle Limo Service. Seattle Limo Service reserves the right to assign this Agreement and any related obligations to any person, company, or legal entity at any time without prior notice.
If any provision of this Agreement is determined to be invalid, unlawful, or unenforceable by a court of competent jurisdiction, such provision shall be applied to the maximum extent permitted by law. The remaining provisions shall continue to be valid, binding, and enforceable, unaffected by the invalidity of any term.
Licensing & regulatory status
Seattle Limo Service is a Washington State LLC. We are licensed and insured, and partner with fully UTC-licensed operators. Vehicles carry $1.5M commercial liability coverage. Certificates of insurance are available on request through our corporate accounts desk.
Related policies
These Terms and Conditions should be read alongside our Privacy Policy, which governs the collection and use of your personal information, and any written corporate account proposal applicable to your bookings.
By continuing to use our website & services, you accept these terms.
For any questions or concerns about these Terms and Conditions, please reach out to our customer support team. We're available to clarify any policy or section above — and if something here reads as unclear or unfair, we'd rather hear it before your booking than after.
